Executive Assistant to Head of School and Advancement Office

GWA is an independent, Pre-K-12, independent, college-preparatory school located on 62 beautiful acres in Monroe, Georgia, less than one hour from the state capitol of Atlanta.

Position: Executive Assistant (EA) to the Head of School

The Executive Assistant will be a key clerical member of the school’s advancement staff and leadership team.  A knowledge of Walton County and the GWA community will be viewed favorably.

FLSA Status: Exempt

Reports to: GWA Head of School and Advancement Staff

Purpose:  The EA performs a wide variety of tasks and carries out clerical and hostessing work for the administrative and advancement leadership of the school.  He or she is the consummate professional in dealing with a range of GWA stakeholders, including students, parents, staff, alumni and members of the larger community.

Major Duties and Responsibilities:

1. Assists in the scheduling of appointments and maintaining calendars for key administrators
2. Serve as a trusted confidante to the HOS and Advancement Staff
3. Receives and welcomes visitors to campus and especially to the HOS
4. Maintains confidential files
5. Carries out typing and the printing of letters and other school correspondence
6. Deals effectively with a wide variety of personalities and situations; the EA is an important public face of GWA
7. Has basic knowledge of Microsoft Office, Excel and other computer applications
8. May attend board meetings, assemble pertinent materials for Board members’ use, and take Board minutes as needed.
9. Attends after school and special events (e.g. Admission Open House) as needed. 
10. Maintain minutes and/or documentation for various meetings and appointments.
11. Plans and supports special events for the school as needed.

Additional Job Requirements:
1. Deals with people in a tactful and effective manner and uses judgment and discretion in giving out or withholding confidential information.
2. Communicates effectively both orally and in writing.
3. May be expected to serve as a student advisor.
4. Maintains highly effective and professional working relationships with others.
5. Carries out keyboarding with accuracy at the speed necessary for the position.
6. Maintains basic knowledge of business letter writing and memos.
7. Possesses the ability to work in the absence of supervision.
8. Serves as a potential backup to receptionists when they are unavailable, answering the phone and handling visitors to campus.
9. Any other duties as assigned by the Head of School or Advancement Staff.

Desired Training and Work Experience

College degree and five years experience in administrative or secretarial functions, or an equivalent combination of training and experience. 
1. Ability to navigate and utilize computer tools like Google Docs, Google Sheets and Google Drive.
2. Knowledge of Microsoft Outlook, Excel, Word and Powerpoint.

Assessment: Performance of this job will be assessed annually.

Salary: Commensurate with work experience and skills.

Terms of Employment: 12 months.
